Wendy Freeman Advanced Facialist respects your privacy and is committed to keeping your personal and treatment information safe and confidential.

For data-protection purposes, Wendy Freeman Advanced Facialist is the data controller for the personal information collected in connection with consultations, appointments and treatments.

Information Collected

Depending on the service you receive, I may collect:

  • Your name, address, date of birth and contact details

  • Appointment, booking and payment information

  • Medical history, medication, allergies and contraindications

  • Details of previous treatments and relevant lifestyle information

  • Consultation forms, consent forms and treatment notes

  • Before-and-after or treatment photographs

  • Messages, emails and other correspondence

  • Details of any concerns, reactions or aftercare advice

  • Marketing preferences and photographic consent

Health and treatment information is particularly sensitive and will be treated with additional care.

Why your information is needed

Your information may be used to:

  • Arrange and manage appointments

  • Assess whether a treatment is safe and suitable

  • Create and maintain accurate consultation and treatment records

  • Provide appropriate treatment and aftercare

  • Contact you about your appointment or treatment

  • Process payments and maintain financial records

  • Respond to questions, concerns or complaints

  • Meet legal, insurance and professional obligations

  • Obtain appropriate professional advice where client safety is involved

  • Send marketing information where you have agreed to receive it

Legal basis for using your Information

Personal information is processed where it is necessary to provide the service you have requested, comply with legal obligations, maintain appropriate business and treatment records, protect client safety or pursue legitimate business interests. Health information and treatment photographs will only be processed where there is an appropriate legal basis and additional condition, such as your explicit consent or where the information is required to protect your vital interests.

You may withdraw consent where consent is the basis for processing. This will not affect information already used lawfully before consent was withdrawn, or information that must be retained for legal, insurance or safety reasons.

Photographs

Clinical photographs may be recommended to document your starting point, treatment progress or response. These photographs form part of your confidential treatment record and will be stored securely. Your photographs will never be used on my website, social media, advertising, training materials or other public platforms unless I have obtained your clear permission.

Consent to treatment photographs being used for marketing is entirely optional. Refusing permission will not affect the care or treatment you receive.

You can withdraw marketing photograph consent at any time. I will stop using the image in future materials where reasonably possible, although I may not be able to recall printed material already distributed or content already shared by others.

Sharing your Information

Your personal information is not sold or shared for unrelated marketing purposes.

Information may be shared only when reasonably necessary with:

  • A prescriber or suitably qualified healthcare professional involved in your treatment

  • Another relevant professional where advice is needed to protect your safety

  • Booking, payment, website or secure record-management providers

  • Insurers, legal advisers or regulatory authorities

  • Emergency services where there is a serious and immediate safety concern

  • Other organisations where disclosure is required by law

  • Where professional advice is requested, only the information necessary for that purpose will be shared.

Wherever appropriate, your permission will be obtained first and identifying details will be removed when they are not required.

Keeping Information Secure

Written consultation forms, consent forms, photographs and electronic records are stored securely. Reasonable safeguards are used to prevent information from being lost, accessed without permission, altered or disclosed. Access is limited to those who genuinely need the information for treatment, safety, administration or legal purposes.

How long information is kept

Information is kept only for as long as reasonably necessary for treatment, safety, insurance, tax and legal purposes. The exact period may depend on the type of record, the treatment provided, the client’s age and applicable professional or insurance requirements. Information will be securely destroyed or deleted when it is no longer required.

Marketing

You will only receive promotional emails or messages where you have requested them or where the law otherwise permits this.

You can unsubscribe at any time by using the unsubscribe option provided or contacting me directly. Appointment reminders and important treatment communications are not marketing messages.

Your Rights

Depending on the circumstances, you may have the right to:

  • Ask for a copy of your personal information

  • Correct inaccurate or incomplete information

  • Request deletion of your information

  • Restrict how your information is used

  • Object to certain uses of your information

  • Withdraw consent

  • Request that information be transferred to another provider

  • Complain about how your information has been handled

Some rights are not absolute, and certain treatment, legal or financial records may need to be retained.
